LAUNCH OF THE AUSTIN TPID
HOTEL ACTIVITY INCENTIVE PROGRAM

Dear Austin TPID Members,

I’m Tim Sullivan, Executive Director of the Austin Tourism Public Improvement District (ATPID), and I’m excited to connect with you regarding a significant new initiative to support our member hotels.

On behalf of the ATPID, I’m thrilled to announce the launch of the Hotel Activity Incentive Program, effective today, Monday, June 9, 2025. This program is designed to empower your efforts in securing group business, strengthening Austin’s position as a premier destination for conventions and events.

Program Overview
The Hotel Activity Incentive Program provides resources to ATPID-member hotels to assist in closing competitive group bookings by offering financial incentives to end-user event entities/organizations. These incentives are paid post-event, based on performance and compliance with program requirements, to drive significant guest room revenue.

Key Program Details and Eligibility
To participate in the Hotel Activity Incentive Program, hotels must meet the following criteria:

• ATPID Membership: Hotels must be active ATPID members, currently submitting district assessments to the City of Austin.

• Competitive Bidding: Applicants must be bidding against other destinations or hotels (inside or outside the ATPID District) to secure the event.

• Room Requirements: Events must utilize a minimum of 10 rooms on peak hotel nights.

• Return on Investment (ROI): A minimum 5:1 ROI is required, meaning every $1 of ATPID funding must generate $5 in guest room revenue.

• Application Process:
   - Submit a Pre-Event Application at least 30 days before the event start date and contract signature (minimum 7 days if a shorter booking window applies).
   - Submit a Post-Event Form, supporting documentation, an end-user event entity/organization invoice, and a W-9 within 90 days after the event concludes. Failure to submit within 90 days may result in forfeiture of approved incentives.

• Funding Limits:
   - Eligible hotels (100+ rooms within the ATPID District) may apply for up to $250 per guest room per fiscal year (October 1 – September 30), subject to available ATPID market-level funds.
   - Hotels receiving other ATPID funds may not be eligible for this program.

• Payment Details: Incentives are paid directly to the end-user event entity/organization (not the hotel or third-party intermediaries) after the event, based on performance and receipt of required documentation.

• Program Duration: Incentives are available for approved groups with events occurring before December 31, 2034, subject to funding availability.

How to Get Started
To apply, complete the Pre-Event Application, available starting today. Ensure your hotel meets eligibility criteria and prepare to demonstrate competitive bidding and ROI projections.
