VUMC Elf Program 2022
The faculty and staff Hardship Fund Committee and Work Life Connections – EAP invite you to participate in the Elf Program program helping VUMC parents.
In case you are unfamiliar with the Elf Program; it is an event that gives us a chance to provide holiday assistance to VUMC families who are in need of financial aid, evidenced by their applications to the Hardship Fund throughout the year. Even if they did not meet the temporary hardship criteria, they still may be suffering a hardship that could dramatically impact their ability to provide holiday cheer for their children.
We are requesting that departments or individuals willing, donate merchant giftcards to families in need. Past donations have included Wal-Mart, Kroger, and Target giftcards. The program will allow parents to enjoy the fun of giving gifts to their children this holiday season.
Please send donations to:
Worklife Connections – EAP
Medical Arts Building, Basement - Suite 010
For further information, please contact:
Amy Goodwin or Brad Oxnam
(615)936-1327
The deadline for turning in gifts is December 16th.

Box Migration Coming in December
In December 2022, Box content will begin migrating primarily to Microsoft services. Any content that does not align well with OneDrive for Business or SharePoint Online will be addressed on a case-by-case basis.
The Box Migration initiative will:
- Consolidate day-to-day collaboration content
- Reduce the need to jump between disparate services
- Likely decrease the number of collaboration tools that must be maintained and supported
The process for migrating content from Box will begin in December 2022 and will be centrally managed by the VUMC IT Cloud Services team.
Broadly speaking, individual content will move to OneDrive for Business, and organizational Box content will move to SharePoint Online.
In this interim period before active migrations begin, users who need to set up new cloud-based content or a collaboration site should do so using Microsoft services instead of using Box. This will help make the migration easier for everyone.
What to expect:
To prepare for migration activities, Box users (and their leaders) will receive:
1. Announcement communication
2. Survey to assess Box content and help drive storage recommendations
3. Box migration schedule
4. Targeted migration communications
Please refer to the Box Migration website for more information, including a set of frequently asked questions (FAQs), and keep a lookout for additional details on this migration work.

New Finance Policy“Documentation and Reporting Requirements for Research Compensation to Participants”
The new finance policy was designed to streamline, standardize, and facilitate the handling of participant compensation and includes the following:
- New research participant compensation documentation requirements designed to improve financial tracking, transparency, and IRS 1099 reporting
- New social security documentation exception criteria and process
- Requirements for compensation to non-US residents
- Compensation provided by an external entity
- Preparing IRB applications (i.e., social security exception requests)
- Purchasing methods of compensation (gift cards, books, etc.)
- Documenting the purchase of or disbursement of methods of compensation

Questions regarding processes related to this policy can be submitted to Clinical Research Fiscal Support Services (CRFSS@vumc.org). More information and resources related to participant compensation can be found on StarBRITE .
