Important things you need to know about MyWorkday go liveThe MyWorkday project at VUMC involves the implementation of two new cloud-based systems, Workday and Tecsys. MyWorkday and Tecsys will transform VUMC’s business systems. The go-live date for MyWorkday is April 1. Here are a few things you need to know now about this important transformation.
1. Workday training has been assigned. Key tips about the training:
- All employees were assigned Employee as Self training.
- People leaders were assigned Workday Manager training.
- Security role-based training will roll out the week of Feb. 20.
- End users can find their course assignments in the Learning Exchange under 'My Courses.'
2. IT began rolling out desktop icons for Workday and Tecsys in mid-February. They will link to a temporary landing page until go live on April 1. You will not be able to access the systems from these links until go live.
3. Check the MyWorkday Cutover page to watch for current and upcoming freeze dates in preparation for our April 1 implementation.

FSA Deadline ApproachingAll flexible spending account participants have until March 15, 2023, to use funds on their 2022 account. They have until April 15, 2023, to file a claim reimbursement form for their 2022 account. Employees can check their account balance on My VUMC Benefits or by calling 844.489.3745.
| |
Benefits Cutover DateMy VUMC Benefits interface will be unavailable to employees beginning at 11:59 p.m., March 17. Between March 18 and April 1 (the cutover period), employees will not be able to enroll in new benefits, submit a life event, change dependents or beneficiaries or file a flexible spending account (FSA) claim through My VUMC Benefits.
Once MyWorkday launches, employees experiencing a life event (e.g., marriage, divorce, birth or adoption of a child) during the cutover period will have their enrollment period extended. Employees experiencing a life event before 11:59 p.m. on March 17 are encouraged to log in to My VUMC Benefits and declare a life event to avoid a delay in receiving their benefits enrollment cards.
Once the new system launches, benefits administration will be done in Workday — with the exception of flexible spending accounts. WEX Health will continue to administer and manage flexible spending accounts.
