We are excited to share significant progress in our Workday implementation initiative: we have wrapped up the Architect & Configure phase and are embarking on the next exciting chapter, Test & Train. This pivotal transition marks a major milestone for our project.
After completing the architecture and configuration of the product last week, our dedicated project team began the crucial end-to-end testing process as well as advancing our training plan. I’m so grateful for the hard work that has gone into architecting a Workday environment that is robust, user-friendly, and configured to the needs of William & Mary. The expertise and commitment to excellence I’ve seen demonstrated by the project team members is truly remarkable; I can’t wait to see the platform really take shape during this next project phase. During this next stage of the project, the functional teams will focus on End-to-End Testing, where they will test business processes from start to finish, validate data conversion and configuration, and resolve any identified defects. Our technical teams will refine security as changes are requested from the functional teams, continue developing reports and integrations, and offer ongoing support for the modernization of business processes. Additionally, we will have an entire team dedicated to managing the cutover events which will happen this summer.
The training team will facilitate various modalities of training, beginning in late spring and continuing through go-live.
The Change Management team will continue to prepare the university for the implementation and go-live using readiness workshops and various communication vehicles, including the Change Network. Visit the Workday website to find the change ambassador for your area!

| What is training going to look like? |
Training ahead of Workday will be diverse, offering various modalities to cater to different learning preferences and schedules. It will include:
Job Aides – instructional documents that provide step-by-step guidance for specific tasks within Workday.
Classroom Learning – hands-on, guided instruction sessions to facilitate deeper understanding and practical application.
Short Video Clips – quick reel-style tips and instructions that can be easily accessed and reviewed as needed.
Webinars – longer digital sessions that offer comprehensive overviews and interactive Q&A segments.

Project team spotlight: Simonne Vance |
Simonne Vance, Director of Payroll & Tax Services, manages payroll processing and tax compliance to ensure accurate pay for all university employees. As the Functional Lead for the Payroll implementation, she ensures the new system meets operational and compliance needs. She believes Workday will improve customer service and compliance and modernize processes. Personally, she values being part of this transformative implementation, leveraging her experience to maximize Workday's benefits.

Workday Mobile supports time and leave management, finance, and HCM approvals and allows for custom alert settings for each employee. After we implement the learning module, employees will be able to do training right in the app!
