Changes to One KU Travel Policy and Procedure

Colleagues, 

As part of One KU, our collective vision for a strategically aligned and unified university across all campuses, the Chancellor and University Cabinet have designated KU Travel Services as a One KU office, which will support university-related travel for all KU Lawrence and Medical Center campuses through the KU Travel Program.  

Here are some immediate and upcoming changes when traveling for university-related purposes.

Travel Procedure Changes

We have streamlined the international travel approval process to make it more convenient for KU travelers. Beginning today, employees who are representing KU on international trips will add and complete an International Export Control & Laptop Checkout Info form while creating their Concur Travel Request. This means travelers will no longer need to separately log into TDX to complete the Export Controls and International Laptop Checkout form. Personal international trips involving KU technology or research require a Zero Dollar International Travel Request in order to initiate export control reviews and required loaner laptop checkout.

Additionally, while booking university-related travel outside of the state in Concur or via our CTP travel agents, employee travelers will need to provide their Concur Travel Request ID to connect their pre-approval with their booking.

One KU Travel Policy

KU Lawrence and KU Medical Center teams have collaborated on a new One KU Official University Business Travel policy. A One KU travel policy will better align campus-specific travel policies, procedures, resources and systems for greater consistency in traveler experiences, support, benefits and security. The policy, which was primarily based on and will replace the KU Lawrence campus Official University Business Travel policy, is currently going through the established policy process and is expected to be finalized in February.
