Dear colleagues, 

The Workday project team has continued to make great progress as we work towards launching our new system this summer! The transition from Banner to Workday will enhance our operations, and we are immensely grateful for all the hard work and dedication that has gone into making it a reality. 

In this edition of the newsletter, we focus on a topic that is top-of-mind for many of us: training! We know that our community is eager to get their hands on the system, and the change management team has been working diligently to build the training curriculum, materials and online resource library. Stay tuned for information on how to participate in the training later this spring to learn how to make the most of Workday. 

A huge thanks to our entire project team for their dedication in ensuring smooth testing and configurations. Their hard work is commendable.

What to know

  • Workday go-live is Tuesday, July 1, 2025 for HR and Finance.  
  • Workday training will begin rolling out mid-May.  
  • Workday Kickstart Training will be offered on May 7th from 10am-11am for faculty and staff. This is an optional guided session on the Workday Community and Learning Center.  
  • Workday Town Hall Q&A sessions are offered monthly and are a great place to ask questions. The next Town Hall will be May 21st at 11am.  

What to do

  • Stay engaged and informed by reading messages from the project team and attending monthly Town Halls.  
  • Ask questions! Reach out to your Change Network representative or email the project team at workdayproject@wm.edu.  
  • Share what you know with colleagues not yet in the know.

Do you know your Change Ambassador?

The Workday Change Network at William & Mary is a group of staff focused on aiding the university's transition to Workday. The Change Network ensures communication between departments and the project team. They assist colleagues in preparing for and adjusting to the upcoming changes. 

Not sure who your Change Network representative is? Find them on the Workday website.  

If you feel your department is not represented on the Change Network, please email the project team. 

Training is on the way!

  • Just In Time (JIT) training ensures you receive relevant training close to go-live. 
  • Over 80 job aids will be available in an online resource library, alongside videos, webinars, and in-person sessions starting in May and continuing after go-live. 
  • You are not expected to master Workday immediately; training will continue this summer. Focus on learning your most frequent tasks this spring. 
  • A support structure will be in place for questions when using Workday.

7 Top Things to Know about Workday   Workday’s robust mobile app allows you to approve everything in one place, on the go! Entering and submitting your timesheet has never been so simple.   Say goodbye to paper timesheets! Workday natively allows for editing timesheets from prior pay periods, and it adjusts benefits withholdings automatically.    Workday will feature improved digital accessibility for users who need accommodations and an intuitive user interface for all users.   Workday provides instant organizational charts, enabling users to quickly view team hierarchies, reporting lines and departmental structures.
Flexible reporting directly from Workday empowers employees and managers to create, modify, and access real-time data insights without relying on IT support (and without waiting overnight for reports to update after transactions post).    Workday’s cloud-based architecture, paperless processes, energy efficiency, and analytics for sustainability reporting are only a few of the ways that Workday supports sustainability efforts for organizations.   An advantage of Workday compared to our current system is that journal entries will post to Workday immediately after being fully completed. Currently, there is an integration that runs once every hour to post them.

Project team spotlight: Ivan Lyashenko

Ivan Lyashenko is the Director of Student Financial Services & Automation. He serves as the lead for the Customer Accounts functional area, a new product aimed at managing the university's miscellaneous receivables, which includes non-student-related charges and departmental billings. Ivan is excited about improved efficiency and a more seamless experience across key HR and finance processes. He believes that this will lead to better visibility of data, more consistent workflows, and fewer manual tasks, ultimately freeing up time to focus on more strategic initiatives.
