Workday Student Update: Readiness Phase Underway  

The Workday Student project is officially in the readiness phase. This important planning stage sets the foundation for a successful implementation. William & Mary invested in this optional readiness phase to ensure we're well prepared before implementation begins. 

During the readiness phase, the project team is: 

  • Reviewing whether W&M will be ready to begin the Workday Student project in early 2027 and fully go live for student operations by fall 2029. 
  • Finding practical steps to address concerns or gaps in functional, technical, and change management needs before the project begins. 
  • Creating a realistic plan that helps W&M start the project with confidence and adjust as needs change. 

Although much of this work happens behind the scenes, it is building the foundation for what's ahead. We’ll continue sharing updates in future editions of the Workday Watch as the project moves forward. 

 

Now Available in Workday: Manager Insights Hub   

Designed to streamline key management tasks, the Manager Insights Hub provides managers with a centralized Workspace to access important insights, take action, and efficiently manage their teams. 

With this feature, managers can easily: 

  • Review, edit, and approve direct reports’ time and absences 
  • Monitor and track the progress of job requisitions 
  • View, update, and create performance-related tasks, such as goals and check-ins 
  • Access employee details, including compensation, job profiles, and time in position 
  • Quickly access frequently used reports

5 Things Every New Employee Should Know About Workday   

  • Entering Time Worked 
    • If you are an operational, hourly, or student worker, Workday is used to record and manage your time worked. (How-to guide).  
  • Time Off & Absence Requests  
    • Use Workday to request vacation, sick leave, and other absences. (How-to guide). 
  • Personal Information  
    • You can view and update your personal and contact information in Workday. (How-to guide).  
  • Pay & Benefits  
    • Access your pay information, tax documents, and benefits details in Workday. 
  • Security 
    • Your security roles determine what you can see and do in Workday. If you can't see something or complete a task, your security role is typically the first thing to check.

A Better, Faster Way to Request WMF Reimbursements is Here!  

The William & Mary Foundation has enhanced the reimbursement process by moving requests into Workday's Create Customer Invoice task. The new process leverages Workday's intercompany functionality to streamline processing, improve tracking and reporting, reduce manual steps, and keep the entire reimbursement process within one system while continuing to support donor intent and budget compliance.

Now Available in Workday: Add Your Professional Certifications 

We’re excited to announce a new feature in Workday that allows employees to record and manage their professional certifications directly within the system.  

With this enhancement, you can: 

  • Track all professional certifications in one convenient place 
  • Keep your credentials up to date 
  • Document your skills, expertise, and professional qualifications 

To get started, simply log into Workday and navigate to your profile > Career > Certifications tab. This job aid will walk you through the process.  

If you have any questions or need assistance, please submit a ticket for Human Resources and select (HCM – Talent & Performance) as the category. 

 

Enhancement to “All Reports I Can Run” Report 

The "All Reports I Can Run" report has a new column titled "Brief Description." This field informs users of the primary purpose of the report.  

While reviewing this report, you may notice that some of the individual reports are missing a Brief Description. If you can provide this information, please submit a Workday ticket with the report name and description and the Data & Analytics team will make these updates. 

 

UHR Tip of the Month: Roles, Positions & Supervisory Organizations 

Understanding supervisory organizations, role inheritance, and position management can help managers and HR partners make informed staffing decisions while ensuring employees have the appropriate security access.
