Cookie Pre-sales & Digital Cookie Online Sales start February 12 |

Online orders for in-person delivery are approved in Digital Cookie. The primary caregiver will get a daily reminder email if they have any orders on the site that need approval.
- All online orders for in-person delivery must be approved within five days or they will be cancelled.

The Girl Scout’s site must be approved and published in a web browser, (Chrome, Safari, Edge, etc.) before they can login to the Digital Cookie Mobile App. The Mobile App is like your “mobile cash register” used to process in-person and booth credit card/Venmo/PayPal sales.

Marketing emails can be sent from Digital Cookie using the Customers tab. Three emails will be available including a shipping promotion, a “still time to order,” and thank you email.

Once orders are approved, customers will receive an email notification with a date to expect cookies. This date is based on our last date of cookie deliveries, plus two weeks. While River Valleys is unable to change this date, you can inform families to tell customers their cookie order will be delivered after they’ve received their initial cookie order.

The Digital Cookie shipping promotion runs February 12-23. Customers that purchase 8+ packages will receive $6 off their shipping fees.

Once you have set up and published your Digital Cookie site, the cookie site link and QR code will be available starting on February 12. Go to the Digital Cookie dashboard:

Families can use the QR code or cookie site link to share on social media, via text or email, on business cards, door hangers or posters. Cookies can be delivered starting on Go Day (February 21). Set a deadline for families to report their pre-sales to you. Need more cookies? Plan a visit to a Cookie Cupboard or place a planned order in Smart Cookies. Then, inform families of when their cookies will be available for pickup.

Join us for our next Cookie Chat session on Monday, February 10, at 6:30 PM via Zoom where we’ll cover Digital Cookie and the Girl Scout experience. We’ll review the changes for 2025, resources, and answer your questions. Register anytime up to the start of the session to receive the Zoom link.

Getting Ready for Initial Cookie Order Deliveries |
Initial cookie order deliveries will run February 13-20. There are two types of cookie deliveries, Mega Drops and Mini Drops. Here’s what you can expect:
Mega Drop Deliveries:
If your Troop participates in a Mega Drop delivery, you have selected a day/time to pick up your cookies. Here’s what to expect the day of your Mega Drop delivery:

Please try to arrive as close to your appointment time-frame as possible. This helps the delivery crew to avoid traffic jams as the Mega Drops are set up to move a predetermined number of cookie cases each hour.

Delivery agent staff will check you in at your selected location and place a colorful “bubble” sheet on your windshield that will detail your order by variety. They will use these totals to load your cookies on each table by variety. They will also provide you with a troop responsibility card for you to review before you leave the site.

As you move through the line, you will verify the count of cookies at each table. Cookies are stacked in groups of five (ex: two stacks + 2 cases = 12 cases).
- Please follow the directions of the delivery staff. For example, the staff may ask you to exit your vehicle or to assist in loading your vehicle. If you have a large order, we recommend you bring an additional adult to assist with loading the vehicle if requested.
- If your order requires two or more vehicles to fit your order, you’ll need to move through the line at the same time. Wait for all vehicles to arrive at the site before you enter the delivery lane.

At the last station, the delivery agent staff will ask you to verify that you’ve received all varieties and ask you to sign your troop confirmation sheet. You are welcome to take a photo of this signature sheet if you wish.

Note: The delivery agent staff will try to move you through the drive-thru line as quickly as possible. We have troops picking up anywhere from 10 to 500+ cases of cookies at these sites. Please allow a minimum of 30 minutes for your appointment. Your patience is appreciated during this busy, yet exciting week.

If your troop experiences an error at your Mega Drop delivery, such as receiving too many or too few cookies, report the issue within 24 hours to Girl Scouts River Valleys by completing our Initial Cookie Order Issues Form.
Mini Drop Deliveries:
If your Troop participates in a Mini Drop delivery, the Community Product Leader will share the date, time, and location to pick up your cookies.
Whichever delivery type your Troop is assigned to; the Troop Cookie Manager is responsible for:

Arranging for pickup of the order. Reference the Cases per Vehicle Chart on Cookie Central to ensure the vehicle has enough room for your Troop’s order

Printing the Initial Cookie Order totals. Run the Troop Initial Order Report in Smart Cookies, or go to Orders>Troop Initial Order>and print the Initial Order page (which will also include the delivery address)
- Verifying the cookie totals at the delivery location and again before distributing cookies to families
- Contacting Girl Scouts River Valleys within 24 hours of the order pickup if you discover miscounts or damages
- Setting a day and time for families to pick up their cookie inventory
- Issuing receipts to families to show the total cookies picked up by variety. Use the cookie receipts from your Troop Cookie materials. You may also use email or texts to acknowledge the transactions

New packaging for Adventurefuls |
New for 2025: Adventurefuls will now be in soft-pack packaging, like the Peanut Butter Patties and Caramel deLites. Here’s an image of the new packaging for this cookie variety:

The size, weight, and number of the individual cookies remain the same as 2024.

Depositing Customer Checks
|
When depositing customer checks into your troop bank account at Wells Fargo, please endorse the back of the check with the following information:
|
- Girl Scouts
- Troop Bank Account Number
- (Juliette Troops will use the account number on their encoded deposit ticket ending in 0544)
- For Deposit Only – this is optional
|
For all other banks, continue to endorse checks “For Deposit Only” unless instructed differently.

Pre-sales and online sales begin on February 12! Don’t forget to set up your Digital Cookie site, then approve and publish it. After those steps are complete, THEN you can download the Mobile App so you are ready to take sales on the go, like taking credit card, Venmo, or PayPal sales for in-person and booth sales. Check out the Digital Cookie Help Center for Girl Scouts and Families if you need assistance or check out the Help section embedded in the Digital Cookie site.
- Did you hear? There’s a shipping promotion! Customers that purchase 8+ packages of cookies for shipment to their homes will receive $6 off the shipping fees. This offer is good February 12-23.

Supporting Troops with Initial Order Cookie Deliveries |
Cookie delivery week is full of excitement and logistics. Here are some tips to help you support your troops during cookie deliveries. Remind troops to:
|

Verify their cookie case counts at their delivery location. Taking the time to count on site will save them headaches in the long run!

Report any miscounts to Girl Scouts River Valleys within 24 hours of their delivery. Direct troops to complete our Initial Cookie Order Issues Form to report any discrepancies with the total cases they received at the delivery.
- If cases are missing packages, direct them to reach out to Girl Scouts River Valleys at girlscouts@girlscoutsrv.org to report the issue. We’ll need the number of missing packages, the manufacturing code printed on one of the cookie packages in the case, and the variety affected.
- Remind troops that receipts must be provided to families each time inventory and/or money is exchanged.
