Dear faculty, staff and students:

We are pleased to share that we have entered the implementation phase for Encompass, our initiative to modernize the campus enterprise system that houses student information, human resources, payroll and financial data. This is a top priority for our university and is significant to our ongoing efforts to invest in mission-critical systems that are modern, scalable and can meet evolving and growing needs. 

Why does Encompass matter?

This digital transformation is instrumental to operational efficiency and improving the student experience, especially as we look to address the complexities of today’s educational environment and meet the needs of tomorrow. Benefits include enhanced customer service and end user experience, streamlined processes resulting in efficiency, access to real-time information to make data-driven decisions, enhanced collaboration, enhanced student and employee data security and improved mobile application use. In short, Encompass will elevate how we serve students, faculty, staff and researchers.

What has been done in preparation?

The selection process for Encompass has been underway since 2022 with a 61-member evaluation/selection committee as well as 68 subject matter experts. In spring 2024, the selection process resulted in the following solutions:

  • Workday, a leading provider of enterprise cloud applications, is succeeding SAP for human resources, payroll and financial Additional details are provided at the end of this letter.
  • Ellucian Banner, a leader in student information software and services designed for higher education, is succeeding SAP for our student information system. Additional details are provided at the end of this letter

We’re grateful for the tremendous work already completed in building the foundation for Encompass including the leadership of the committee chairs and facilitators: Charlotte Pegues, Tony Ammeter, Andrea Jekabsons, Joy Shideler and Nishanth Rodrigues. Additionally, we’re impressed with the eager and talented teams being built in support of project staffing to successfully implement and support Encompass.

Why now?

As background, Banner and Workday, our new cloud-based systems, are replacing the university’s current on-premises system, SAP, which has been in use at the university since 1999. As we approach the end of life of our SAP platform in December 2027, these complex systems require a replacement to be in place ahead of the end-of-life date and take several years to implement. Additional details will be shared once we have the project details developed which will include timelines for implementation and impact to our campus. 

What’s next?  

It is an exciting time as we embrace the possibilities of this new chapter for the campus. Just like technology has changed how we bank, shop, and interact, these enhancements will change how we work. As a result, Encompass is not just a new system or a technical upgrade, it is a transformational initiative that will shape the future of how we work and deliver services. We appreciate your support and engagement, and we look forward to sharing additional details with the campus community throughout the overall implementation of Encompass.
