Welcome to the spring edition of our Investigator newsletter! The weather is quickly changing and reminding us that summer is near! Speaking of change, you may have noticed that we’ve had a number of changes in the Office of Clinical Research. We have hired new staff, created new processes, and implemented new systems. I can absolutely appreciate that it is a lot to wrap your mind around and that these changes can be unnerving. It’s natural to feel comfortable with the way things have been and resist any kind of disruption to our routine. But here’s the thing, change is good! It leads us to new opportunities for growth and expansion. The way I see it is that we have an opportunity to reorganize and discover new ways of operating. We might not realize how capable we are of moving our limits until we are faced with change. To change is to grow. Let us embrace the change, realize our potential, break down some of the boundaries that we may have created and learn new skills together.
I believe that these changes we're experiencing will continue to shed light on a new era of growth for the office and the continued evolution of our ever-growing research here at the GW SMHS/MFA.

| Eric Cannon, Senior Contracting Officer
Eric has joined the Office of Clinical Research as the Senior Contracting Officer, a new role which has been strategically added to support the growth and expansion of clinical research at GW. He will have responsibility for the review, negotiation, and finalization of all legal transactions to support clinical research.

Haneefa Willis-Johnson, OnCore Project Manager
As the OnCore Project Manager for the Office of Clinical Research, Haneefa is excited to partner with our coordinators and assist them with the protocol shell creation process, operational questions as they relate to OnCore, checking in subject visits, and integrating with Forte for subject payments.

As you all know, Melanie Bossi’s last day was Friday, April 28th. We wanted to take this opportunity to thank Melanie for her 27 years of service to the MFA. She will be greatly missed and we wish her all the best.

Introducing: Cosmos Access for Research |
|
|
|
The Cosmos data set is unlike any other used in health research today. Cosmos combines billions of clinical data points in a way that forms a high quality, representative, and integrated data set that can be used to change the health and lives of people everywhere. Cosmos includes information from 200 Epic organizations, with the dataset containing more than 184 million patients and 7 billion encounters.

Recently, we created some new forms and made updates to existing forms. You can find those forms linked below. Keep in mind that all forms have a permanent home on the OCR website under Forms, Tools, & Templates.
Intake Form
This new intake form is a combination of 4 different forms that were previously completed to kickstart the contract and budget negotiation process. The purpose of this form is to streamline the process and provide information to the Business Operations Unit on the resources or departments required for a study. It will also help determine who needs a task list when entering information into OnCore.
MTA/DUA Form A dual Intake Form for both MTAs and DUAs has been designed to streamline requests and facilitate expediting both data and material exchanges and transfers to simplify the process.

| Long-Term Storage Now Available |
|
|
As previously announced, long-term storage is now available for all studies that have been closed for at least two years. Please review the contract with the business operations unit to determine how long an individual study must be retained on-site before being transferred to long term storage.
If you are currently using boxes that were not provided by Iron Mountain, your boxes must have handles and a lid or you will need to request Iron Mountain boxes in the next supply order. All studies entering long-term storage will be tracked by the Office of Clinical Research, but each individual department is responsible for retaining the study information and Iron Mountain label numbers for their own records.
At this time, we will be scheduling long-term storage pickups every 6 months. You will receive emails leading up to the pickup date reminding you to place orders for supplies and notify us of how many boxes you will need collected. The next storage pickup will be in the fall.

Reminder: Epic Billing Review |

|
As a reminder, please be sure you are logging in weekly and conducting a billing review for your studies.

| Coordinator Spotlight: Ana Pabalan |
|
|
Ana's clinical background has helped her navigate through the different stages of clinical trials. She is enjoying interacting with multiple stakeholders involved in research. Her favorite part is the recruitment process simply because she gets to connect with patients. She loves seeing the intersectionality of clinical medicine and research. She is appreciating the work that research coordinators do and how they play a key role in generating important data to strengthen the health information system.
In my spare time, She plays with her two boys, reads on public health issues and trains jiu-jiutsu.
