Managing Troop Cookie Inventory |
Find useful reports in Smart Cookies to keep tabs on troop inventory. Go to Reports > Current:
Troop On-Hand Inventory Report: Total cookies that are in your troop inventory not transferred to girls. Change the ‘Unit of Measure’ from Cases to Cases/Packages or Packages to get accurate numbers.
Girl Cookie Totals Summary Report: Total cookies transferred to Girl Scouts. The ‘Total Pkgs’ column includes transferred cookies and the Cookie Share donations. The ‘CShare’ column shows the number of Cookie Share/virtual donations the Girl Scout has received. The ‘Balance Pkgs’ are cookies that have been transferred to the Girl Scout.
Troop Balance Summary Report: Total inventory transferred to the troop from initial cookie orders and cupboard or troop transfers, along with the Troop PGA, and more:

The total number of Cookie Share (virtual donation orders)
- The troop proceeds and total troop sales
- Shipped cookie orders and girl cookie delivery deposits credited to the troop

Girl Balance Summary Report: Total cookies a Girl Scout has sold at booths and in individual sales. Plus, how much money each Girl Scout still owes the troop. Since Girl Scouts are not financially responsible for cookies sold at booths, this shows you the balance due from individual sales.
Girl Cookie Order Detail Report: All girl-delivered & shipped cookie sales from Digital Cookie, made using a cookie site link or from the Mobile App.
Add these reports to your ‘My 10 Favorite Reports’ by highlighting the report name, then clicking the ‘Add to Favorites’ box.
Manage Orders Screen
The Manage Orders screen in Smart Cookies is another way to see cookie transfers. Go to Orders>Manage Orders. Click on ALL to view all transfers or the Transfer option to filter for specific transfers. Then, click “Apply Search Parameters,” to view results. Export to Excel to view the transfers in a spreadsheet. If you see any discrepancies, check your receipts against your troop transfers to look for a data entry error. Cookie Share Donation Program |
Cookie Share Program donations can be complex, here’s a few resources to help you work with donated packages. For both donation options, Girl Scouts collect money from customers and turn it into the troop or donations paid online with Digital Cookie. Girl Scouts earn a Cookie Share patch for selling 20+ donation packages:

When customers purchase cookies with donations in a shipped cookie order, the donations automatically go towards virtual cookie share. No further action is needed from the troop.
- When customers purchase only donations or cookies for in-person delivery with a donation, the troop can choose either virtual cookie share or tracked cookie share.

Tips for Processing Venmo Payments |
To avoid payment issues when using Venmo with the Digital Cookie Mobile App, confirm transactions before handing over cookies:

Confirm Payment
- Wait for the confirmation screen on the Girl Scout’s device (see image below) and the customer device.
- Screenshot the confirmation and note the order number.
- Record customer details and cookies involved in the transaction if there are any issues for follow-up if needed.

If the payment isn't appearing after 48 hours, please fill out the Venmo Payment Issues form to provide the information we need to track down the sale.

Council On-Demand Cookie Cupboard Schedule & Planned Orders |
Council On-Demand Cupboards are open Friday, Saturday, and Sunday. View the Cookie Cupboard Inventory on Cookie Central for the most up-to-date inventory information and hours before visiting a cupboard.
Planned orders for Regional/Regional Express Cupboards are due Monday by 7am. When making planned orders, remember to order what you intend to sell as these cookies cannot be returned to the baker.

Troop-Secured Cookie Booth Requests |
Submit troop-secured cookie booths within 72 hours of the booth so our staff has time to review the request. While we try our best to approve these submissions on the weekend, our staff is not actively monitoring them every hour. For same-day additions during the week, give us a call at 800-845-0787 or email girlscouts@girlscoutsrv.org to assist you as quickly as possible.

Cookie Spirit Award Winners |
Congratulations to this week’s Cookie Spirit Award winners!
Mandia Tinnakul: For two cookie seasons in a row, she’s helped our troop by designing and printing stickers and a booth bingo board that feature our Girl Scouts’ original art. The girls love handing out their stickers to customers who purchase cookies and win bingo!
Kam McPhillips: Kam plans and runs the local cookie rallies and parent meeting. She plans fun and engaging games, and contests for both. She truly loves this time of the year and knocks it out of the park!
Manida and Kam will receive a Cookies On the Go prize pack. Nominate a Cookie Volunteer for consideration today. All submissions will carry over each week.

The LemonAid Program gives Girl Scouts the chance to support Pet Haven of Minnesota at the 130 sales level. When they make this choice, they’ll receive a special patch (pictured below). See the rewards information on Cookie Central for more details.

Digital Cookie lets you control in-person cookie delivery and even turn off specific cookie varieties. You can manage these settings in the "My Cookies" tab. Find step-by-step instructions in your Digital Cookie Help Center.

Cookie money can be confusing. Assist troops by reviewing their Troop Balance Summary in Smart Cookies:

Packages Sold Per Girl Selling: The troop’s PGA
- Proceed plans: Main Plan or Opt-Out Plan (for Senior/Ambassador Troops that selected to opt-out of rewards)
- Received: Lists all cookies transferred in and out of the troop: Initial order cookies, Cookie Share, Digital Cookie shipped cookie orders, cupboard transactions, and troop to troop transfers

Sales Amounts: The current Troop Proceeds and Council Proceeds for the packages transferred to the troop
- Finances: Lists all ACH, Digital Cookie shipped cookie deposits, and credit card/Venmo/PayPal deposits credited to the troop
- Balance: The current balance due to River Valleys or overpayment owed to troop
|
Remind troops to deposit cookie money weekly in the troop account. The first ACH withdrawal is on March 21. The amount will be $1 for each package received by the troop as of March 14 minus Digital Cookie online/mobile payments. To prepare for the ACH, deposits should be made in the troop account by March 18. Check the ACH FAQ’s found on Cookie Central for details.
