Support Portal

The Workday Support Portal serves as your centralized gateway for submitting questions, tracking requests, and finding solutions to common challenges within the Workday system. 

For the fastest support, please avoid emailing individuals with your questions—this can slow down their ability to respond to tickets and may delay your resolution. Submitting a ticket through the support portal ensures your request is routed efficiently and addressed in the order it was received. Remember: tickets always take priority over direct messages.

When to submit requests via Workday and NOT the support portal:

Security requests – For audit and internal control purposes, all Workday security role changes must have documented approvals, just like Banner. Please follow these quick instructions to submit accounts receivable, finance, grant, and HCM security requests for approval. 

    1. Visit https://workday.wm.edu 
    2. In the search bar, type “create request” 
    3. Select “Workday security request” 
    4. Complete form with finance details 
 

Travel Exception Calculators 

The updated Travel Exception Calculator Forms are now on the Launch website. Please delete previous versions, as these new forms contain accurate and more efficient information.

We’ve added a new Student Hiring section to the training website! Here you’ll find the Hire Student Worker Job Aid and the Student Hiring Training PowerPoint.

Workday Tip:

Tasks assigned to you require your attention

Remember, when you see tasks assigned to you in your My Tasks box, those are your action items to complete. Don’t hesitate or assume someone else is handling them—these processes move forward when you do. Taking timely action ensures workflows continue smoothly for everyone involved. 

How to see who else is assigned to a task besides you:

    1. From the Workday home page, locate the My Tasks icon at the top of the screen. 
    2. In the side navigation menu, click Archive. 
    3. Find the desired task in the archive list — it will open in the View Event section. 
    4. Click the Process tab to view details, including who’s responsible for the next step and any completed actions. 
 

Workday Finance Virtual Feedback Session

The Workday Change Management Team is excited to announce a virtual feedback session dedicated to all things finance, happening on August 19 at 2pm. This gathering is specifically designed for those who regularly handle financial tasks in Workday and are eager to contribute to the evolution of our system. 

Whether you've encountered challenges, discovered helpful features, or noticed areas where additional resources would be valuable, your perspective is essential. By sharing your experiences with the new system, you’ll help us refine our training materials and identify gaps that need attention.

Accounting and Adjusting Journals Business Process Update 

The Accounting and Adjusting Journals Business Process was updated last week to reflect a streamlined approval workflow. You may notice fewer approvers listed when submitting journals moving forward. 

Please note: If a journal was submitted before the update, the new workflow will not apply due to Workday’s effective dating. To use the updated process, the journal must be canceled and resubmitted.

 

Easily See All Reports You Can Run in Workday

Did you know you can now quickly see every report currently available to you in Workday? By running the "All Reports I Can Run" report, you’ll get a complete list of all reports you have permission to access. This makes it easier than ever to find the reports you need without searching individually. 

Simply search for "All Reports I Can Run" in the Workday search bar to get started! 

 

Security Roles: 

Gaining Access to HR and Finance Related Services 

If you think your security roles in Workday are incorrect, let us know! Note: if a job aid lists more than one security role, you only need one of those to be able to access what you need to.  

New Access: If you’re unable to access a Workday app, service, or feature you typically use, it may be due to missing or incorrect security roles. Refer to the relevant job aid for a list of required security roles and follow the access request process outlined below.  

Already Have the Role: If you’ve already been granted the appropriate security role in Workday, but are still experiencing issues, please submit a Workday support ticket with specific details about the problem.  

Requesting Access: For audit and internal control purposes, all Workday security role changes must have approvals documented, just like Banner. Given that the financial accounting and HR organizational structure is different between Banner and Workday, the configuration was not a one-to-one match. Please follow these quick instructions to submit a security request for approval. Thank you! 

    • Visit https://workday.wm.edu and log in with your W&M SSO credentials 
    • In the search bar, type “create request”, select create request task 
    • Select “Workday Security Access Request” from the dropdown menu 
    • Complete the form with relevant details, as prompted.
