Dear faculty and staff,
Our student employees play an important role in keeping our campus running smoothly, and your support is key to their success. This morning, all active student employees (as well as any students hired or becoming active between November 19, 2025, and December 31, 2026, received the message below to help them prepare for Workday’s go-live in January 2026. Please note that students who have not yet completed onboarding for their spring positions were not included in this distribution.
We encourage you to review this information, so you can help guide students who may have questions during the transition to Workday. If you supervise student workers, please confirm they received the message. You may also share it directly using this link.

About Encompass and Workday
|
Ole Miss is modernizing many of its technology systems through a multi-year effort called Encompass. As part of this work, student workers will begin using Workday in January 2026 for HR-related tasks. It’s much easier to use than current systems, and we’re excited to bring it to you.
This email highlights what you need to know now, like how to track time, use the mobile app, complete training, and navigate your on-campus job(s) in Workday.
More information for students about Encompass (including an introduction to the new Student Information System, Banner) will be shared later this year.

7 Things to Do and Know to Prepare for Workday |
1. Complete Your Workday Training |
Prepare for Workday by using training created specifically for student workers. These resources will show you how to:
|
- Track your time worked
- Update personal information

Navigate your Inbox and Notifications
- View pay information
- And more!
|
Here is the Student Worker Training Map to know exactly what training is recommended. Ongoing training and support will also be available after Workday goes live in January.
|
Note: A recording of Workday 101 Pre-Go-Live will also be available soon; however, we encourage you to sign up for one of the three virtual sessions if you can.
|
2. Learn How to Track Your Time in Workday |
Student workers who currently submit a timesheet will enter their own time directly in Workday—no more paper timesheets!
Your manager or supervisor will tell you which of the following time-tracking options to use:
|

Time Kiosks: 50+ stations across campus.
- Desktop and/or Mobile App: Check in and out using the Web Clock on a desktop or the Workday Mobile App.

Manual Entry: Add time in the “Enter My Time” calendar. You can do this in a variety of ways:

Auto-Fill: Copy from the prior week or schedule and adjust accordingly for the week.
- Enter by Week: Fill in a full week’s grid.
- Quick Add: Add the same block to multiple days.
|
No matter the method used, you must review and submit your time for manager approval.
💡 Tip: As a best practice, submit your time each week (i.e., on Fridays). Time must be entered, submitted, and approved to be paid.
Please note: If you are an undergraduate and graduate paid on a stipend and do not currently submit a timesheet, you will not be required to track time in Workday.

3. Manage Multiple Student Jobs Easily |
If you have more than one student worker job on campus, Workday makes it easy to:
|
- View all jobs in one place
- Track time separately for each job

Route hours to the correct supervisor
|
4. Use New Tools for Feedback, Goals, and Growth |
Workday includes updated tools for receiving feedback, setting goals, and documenting your development as a student employee. More information about these features will be shared after launch.

5. Explore the New Student Job Board |
Starting January 2026, student job postings will be in Workday.
You’ll be able to:
|
- Search and apply for jobs in one place
- Move through a streamlined hiring process
- Experience a more intentional onboarding process
|
To access the job board, simply search for "Find Student Jobs" using the Workday search bar.
|
6. Download the Workday Mobile App |
The Workday mobile app lets you check in/out, enter time, and update information straight from your phone. You won't be able to log in yet, but you can download the app to be ready in January:
|
7. Access Your W-2 Online Starting in 2027
|
Beginning with the 2027 tax year, you’ll be able to receive your W-2 electronically in Workday—faster, more secure, and very convenient.
|

|
You won’t be navigating Workday alone—your supervisor and the HR team will walk with you every step of the way. We’re excited for you to experience a system that’s easier, clearer, and built for the way you work.
