OAE Insights and Resources

We wanted to share a few helpful insights and reminders as many of you continue recruiting, managing searches, and preparing appointment form materials.


Our aim is to support smooth processing, reduce back-and-forth on forms, and help departments stay aligned with current requirements. We hope the highlights below are useful as you plan upcoming searches.

 

Recruitment Tools You Can Use

Circa

Circa connects departments to a wide range of professional and community organizations where job postings can be shared. It works best as a starting point. Circa opens the door, and departments decide how and where to engage. Learn more: https://oae.uic.edu/ah/circa/

JobElephant

JobElephant helps departments place job ads across multiple external job boards in one step. Many units use it to save time and expand the reach of their postings. Learn more: https://jobelephant.com/university-of-illinois-chicago/

Good Faith Efforts (Quick Reminder)

While Circa and JobElephant generate reports, departments still need to complete the Good Faith Efforts Spreadsheet required by OAE.

Important: Clearly note which outreach is part of your recruitment plan and which
activities are intended as good-faith efforts.

Academic Search Coordinator (ASC)

Academic Search Coordinators help searches stay on track and aligned with campus hiring practices.

ASC's typically: 

  • Stay involved throughout the search
  • Help track required steps and approvals
  • Review hire summaries, appointment changes, and waivers

Each unit may designate up to two ASCs. OAE approves appointments and provides training.


Request: Please review your unit’s ASC listing and let us know if anything has changed.

 

Job Posting & Employment Notice Updates

Some required job posting language has been updated. Most new Cornerstone requisitions already include:

  • The updated EEO statement
  • Required AI disclosure
  • Applicable notices when required 

If you’re reposting a position, please review your ad and make updates accordingly. Current language can always be found here:

Please ensure postings align with the recruitment plan approved in Cornerstone. When you’re unsure if your ad includes required language, please refer to our external job ad template. (Right-click and download)

Action: If plans change, send a note to OAE before posting to help avoid delays later.

 

Quick Tips!

A few common spots to double-check before submitting your forms to OAE:

Cornerstone Salary Field

Salaries should fall within the approved range in Cornerstone.

Bonus Tip: If the proposed salary is above the approved maximum, pause and obtain
approvals first. Once approved, send the documentation to OAE so Cornerstone can be
updated.

 

Screening & Evaluation Criteria Spreadsheet

When completing the spreadsheet:

  • Include all applicants from Cornerstone
  • Use the qualifications listed in the posting
  • Apply criteria consistently

Undocumented evaluations, mismatched qualifications, and missing applicant dispositions are the most common reasons for returning forms.

Dos and Don’ts

Once OAE approves a requisition, any changes should be communicated to OAE via email at oae_eeo@uic.edu.
