Web CMS User Training Program

As discussed in the Web Editors Forum during this past year, the full training program for new CMS users is ready to launch. A new site in Drupal has been created specifically for training exercises (practice work, profile tagging, test webpages for assessments, etc.). It is not connected to any specific department and will ensure that test pages do not get accidentally published on a live website. Training materials are transitioning from the Website Help Hub into Canvas. In January, the Website Help Hub will be modified to reflect these changes. All existing editors/publishers can self-enroll in these Canvas courses and use them as an ongoing resource.

When Drupal access is requested, a new user will be assigned only to the new Training group. After they successfully complete the training program (including all three courses in the series), they will be granted access to their department site. Publishers are still required to sign the Web Publisher Agreement.

Training Series

The goal of this series is to provide editors and publishers with the knowledge and skills needed to edit and create webpages in Drupal CMS that adhere to accessibility standards and follow best practices in usability and inclusive design.

OHIO Web Essentials | Building Accessible, Inclusive, and Brand-Aligned Sites
This course is an overview of the roles and responsibilities for anyone working in or responsible for the content in OHIO websites created in Drupal. The goal of this course is to provide editors, publishers, and their supervisors with the knowledge and skills needed to create and approve webpages that adhere to accessibility standards and follow best practices in usability and inclusive design.
Find and Edit Images Training
This course provides step-by-step instructions to select quality images (from PhotoShelter) to enhance the stories that you tell on your webpage. You will learn to edit images to align with recommended name and size conventions (using Photoshop or your own editing tool) for specific use on your web pages.
NEW: Drupal Page Training Course
The third course in the series for Web CMS training is now available in Canvas. This course provides step-by-step instructions to create and edit Profiles, Basic Pages, and Modular Pages (including all Web Elements) in Drupal CMS.

Future Course Creation

News Page Training: This course will be created and released in spring 2026 specifically for users that create news articles and OHIO Stories for the news site.

Drupal User Dashboard Redesign

Coming in January:
The UCM web dev team has designed a new Drupal User Dashboard to make your editing experience more intuitive and give you quicker access to the tools you use most. In this update, on your user screen (webcms.ohio.edu/user/your-OHIO-ID) there will still be a list of sites you have access to, but also added quick links to often-referenced resources, sections for recently edited pages and pages in review, and more to make your web-editing life easier! More details will be sent in early January.

Table Styles Updates

The table icons in text editor boxes have been updated to support different styling options. There are now three table options when creating a new table: sticky header, sortable table, and searchable table. The steps to utilize each of these has changed slightly, and each has a unique functionality.

OHIO-DAN Session & What’s Ahead for 2026

This month, the OHIO Digital Accessibility Network will host its final meeting of the year. The session will recap 2025 and introduce the 7 Core Skills of Digital Accessibility, which will guide next year’s quarterly OHIO-DAN sessions.

These core skills—headings, lists, links, tables, color and contrast, images/alt text, and video/audio—benefit anyone working on websites or digital content. Web editors are encouraged to attend and stay connected through the OHIO-DAN Teams channel.

Web Editors Forum

The Web Editors Forum is a monthly meeting for all web editors, publishers, and content managers. We come together to discuss topics of interest to the group to improve our websites and the processes we use.

Open Labs

Open labs are offered so that web editors can schedule focused time to work on their web pages and have assistance available. Shelli Minton, Web CMS Specialist and Training Supervisor, will be logged in to answer questions as needed.

Schedule: every Tuesday 2:00-3:00pm and every Thursday 9:00-10:00am
