At Ole Miss, we are continuously working to better our institution and serve our campus. Along those lines, two years ago we launched Encompass with a clear goal: to modernize our systems to strengthen support for our employees, students, and the operations of this university.
The project continues to move forward, with more than 350 employees across campus giving their time and expertise to this effort. In January, Workday went live for Human Resources and Payroll. This spring, more than 14,000 students registered through Experience, our new academic portal, completing the first registration cycle in the new system.
The road ahead brings new tools and new opportunities, and this transformation will continue to require engagement from all of us. To those on the front lines of this effort every day, and to those across campus supporting them, thank you. Your collaboration and commitment are what move this project forward.

Course Registration at Orientation: Thousands of Fall 2026 registrations have already been completed in Banner through orientation sessions. As students continue to navigate new systems, these resources can help address common technology questions:

Fall 2026 Courses in Blackboard: Fall 2026 courses will be automatically populated in Blackboard, and manual course enablement will no longer be required. Instructors will retain control over when the course is made available to students. For questions, contact blackboard@olemiss.edu.
- Attendance Scanners Are Being Removed: The university is transitioning to a new attendance process through Blackboard. Classroom scanner removal will begin this summer, with additional information shared before the Fall 2026 semester.

Accounts Receivable: Preparations to transition student account balances, payment activity, and related financial processes into Banner are underway. More will be shared with the campus soon.

Interim Effort Certification: Spring 2026 Effort Certification for federal awards is now available in Workday, and impacted employees may begin completing their self-certifications. The Spring 2026 certification period covers work performed between December 25, 2025, and May 8, 2026. All certifications must be completed by July 15, 2026.

Parents and guardians who have been granted proxy access can now be viewed directly in Banner. This makes it easier to understand who students have authorized to access information and helps support more informed conversations. See how.

Adding Shortcuts in Workday |
Save up to 10 tasks and reports directly to your homepage for faster access to the tools you use most often. To add shortcuts, select Customize in the bottom-left corner of your homepage, then choose Add Shortcuts. Search for the resources to add, select Add Shortcut, and then click Save Changes.

Notice: July 1 Costing Allocation Deadlines |
In preparation for the new budget year and the new budget tool in Workday (Adaptive Planning), all existing costing allocations for regular employees dated July 1, 2026, and beyond will be replaced with the cost allocations included for next fiscal year’s budget.
This may impact positions paid with soft or grant funds, or a blend of these funds and the general budget, and applies only to employees with an Employee Type of Regular. It does not apply to Temporary/Fixed Term or Seasonal/Casual employees.
If you need to create or update costing allocations for regular employees through June 30, 2026, all allocations must be created by June 19 and fully approved by June 24.
HR and IT will end all existing costing allocations as of June 30, 2026, for regular employees to facilitate the load. Users may begin entering costing allocations effective July 1, 2026, and beyond, starting June 29.

How to Send Back Staff Self-Evaluations for Performance Cycles |
If you are a staff member for the Provost and Chancellor Divisions currently going through a performance evaluation, you may want your supervisor to send back your self-evaluation so that you can make changes.
To have the evaluation returned, your supervisor must open the evaluation, navigate to the
Review and Submit section (by selecting Review and Submit in the navigation bar), and select Send Back. Once returned, you can make any necessary updates and resubmit the evaluation for supervisor review.

Terminating Students within Workday |
When a student graduates or is no longer working for a department, the manager or unit initiator will need to submit a Terminate Employee business process for the student if the student has only one job.
If the student has multiple jobs and will continue to work elsewhere on campus, the department the student is no longer working for should submit an End Job business process. The end job business process will end the student’s job with the department they’re no longer working for, but will not terminate them in Workday.

| Piecing Together the Vocab |
Insights is the university's new data warehouse and reporting hub, bringing together historical and real-time information from Banner, Workday, and other systems. Access will be role-based and surfaced through Experience.
