Web CMS User Policy
We are excited to announce a new University Policy aimed at enhancing security, accessibility and efficiency within our web content management system (CMS). This new policy underscores our commitment to providing the best user experience to all our stakeholders and outlines the responsibilities of users (editors, publishers, etc.) who are granted access to the content management system. All Drupal users and their supervisors should thoroughly review the policy to ensure compliance. We appreciate your cooperation and support in adhering to these guidelines.
Required Document Remediation
Beginning May 1, 2024, any new document (including PDF, Excel, Word docs, etc.) must be remediated before it can be posted on a Drupal website. This will ensure our website adheres to legal ADA requirements, and is usable for all website visitors.
All existing documents must be reviewed and a decision for action made by
October 1, 2024. Primary site managers should work with their site editors and SMEs (subject matter experts) to review all PDFs that are already linked on the website. You can review our instructions for best practices and options for existing document content under
Manage Documents. The OIT Accessibility team can generate a report for you to find most of your PDFs. If you have files uploaded in the OHIO Website library in SharePoint, you will need to access that folder directly to review the PDFs. A plan must be established so all files linked from OHIO websites are remediated by
May 1, 2025.
UCM will complete periodic audits with assistance from the OIT Digital Accessibility office to ensure compliance.
Required Podcast Transcripts
When embedding a Spotify podcast on the ohio.edu website, all podcast episodes must have a transcript included as an accessibility requirement. The creator of the podcast must turn this feature on in the backend of Spotify (even if it's just using the automatic transcription).
