Welcome to Workday Watch—a new resource designed to keep you informed with timely updates and helpful insights. Each edition is shaped by the questions and feedback we receive through the Workday Support Portal. Whether you’re navigating new processes or seeking clarity on recent changes, Workday Watch aims to provide the guidance you need, when you need it most.

Entering Time and Requesting Absence

The first major deadline to enter time and leave in Workday is now officially behind us. One of the key things to remember: requesting an absence is now the way all employees record time off (unless you record time off in FAMIS). 

Exempt employees: Once you’ve entered your absence and submitted it for approval, you’re all set - no further action is required.

Non-exempt employees: After your absence request is entered and approved, those hours will automatically populate on your time calendar.

Virtual Training: A virtual training session on entering time and requesting absence will be held on Monday, July 14th at 11am. No registration required.

 

Week One

As with any major transition, the first week brought its share of challenges as everyone adjusted to the new system. Thank you to everyone who promptly submitted support tickets, especially employees and supervisors regarding submitting and approving time. Your feedback was invaluable in helping us fine-tune the system and ensure a smoother experience for all. The project team continues to work through tickets while also balancing the remaining conversion work. Thank you for your continued patience.

Please direct all Workday support requests to the support portal. Email workdayproject@wm.edu only for project logistics, not for support issues. Project team members are still in many meetings working through configuration and process exceptions. Reaching out to them directly for support, while more convenient, makes it more difficult for them to set priorities and focus. Thank you for your cooperation in using the defined support resources.

Helpful Crosswalks

A crosswalk is a structured reference resource that maps legacy data elements from Banner to their corresponding values or structures in Workday. It serves as a translation guide to help users understand how data fields, codes, or processes have changed between systems.

Organization Cleanup is Underway!

Some employees may see an incorrect organizational structure in Workday, as we continue the process of refining and cleaning up supervisory organizations across the system. The project team is actively working to resolve these issues as quickly as possible.

If your organizational structure in Workday is incorrect, please submit a ticket. If you’ve already done that, thank you! The project team will make sure that all timesheets submitted are processed for pay, even if routed to the wrong supervisor for approval.

 

Security Roles: Gaining Access to HR & Finance Related Services

If you think your security roles in Workday are incorrect, let us know!

New Access: If you’re unable to access a Workday app, service, or feature you typically use, it may be due to missing or incorrect security roles. Refer to the relevant job aid for a list of required security roles and follow the access request process outlined below.

Already Have the Role: If you’ve already been granted the appropriate security role in Workday, but are still experiencing issues, please submit a Workday support ticket with specific details about the problem.

Requesting Access: For audit and internal control purposes, all Workday security role changes must have approvals documented, just like Banner. Given that the financial accounting and HR organizational structure is different between Banner and Workday, the configuration was not a one-to-one match. Please follow these quick instructions to submit a security request for approval. Thank you!

  1. Visit https://workday.wm.edu and log in with your W&M SSO credentials
  2. In the search bar, type “create request”, select create request task
  3. Select “Workday Security Access Request” from the dropdown menu
  4. Complete the form with relevant details, as prompted
 

Office Hours, Training, and Peer Support

There are several opportunities to attend Office Hours and Training on a variety of topics, including UHR, Travel & Expenses, and Journal Vouchers.

Viva Engage

Viva Engage is a feature in Microsoft Teams designed to facilitate peer support and knowledge sharing about Workday and other topics. You’ll find it in the left sidebar of Microsoft Teams, ready for you to explore. There are already some communities set up, but the Workday one will be where you go for all things Workday. We encourage you to collaborate with others using Workday, so we can build our institutional knowledge and navigate this change together.

 

Outlook notifications

On Monday, July 14th, Workday email notifications will be enabled. Some users may wish to receive these reminders, while others may prefer not to. Visit the job aid on how to manage email notifications.
