As the spring semester kicks off, Information Technology Services (ITS) wants to make the campus community aware of several recent and upcoming changes to important technology tools and encourage everyone to use a few best practices. We also want to remind you of our existing services to help you in your work. Students will receive a similar message from ITS.

Changes to VPN Login Process
The Virtual Private Network (VPN) login process has been modified for security enhancements. VPN users will now be redirected to a web browser for EID login. In addition, users of VPN Private Groups will need to modify the login path to include their private group name. For more information, visit this help page.

“Trust and Accept” New UTexas Wi-Fi Certificate on Phones and Computers Starting Feb. 14
Beginning Feb. 14, you will be prompted to “Trust/Accept” a new certificate when accessing campus wireless (“utexas” Wi-Fi) or wired General Networks from your phones, tablets and computers. Once you complete this action, you will be connected to the network and no additional steps will be necessary. For those who may not be traveling to campus on a routine basis, you will need to “Trust/Accept” the new certificate on your first trip back to campus after Feb. 14.

Users Encourged to Use Verified Duo Push
Users are encouraged to use “Verified Duo Push” when they log into official University accounts, such as Outlook and Workday. Verified Duo Push replaced Duo Mobile push approvals last semester and will require you to enter a three-digit verification code when approving a Duo request. Microsoft 365 Suite Available for Free to All Faculty and Staff
Everyone at UT Austin is provided a Microsoft 365 account by default, providing access to the Microsoft 365 suite (Exchange Email, Word, PowerPoint, Teams, and more). Login to your Microsoft 365 account here.
Need to meet with a larger audience? MS Teams webinars are available for all students, faculty and staff.
If you need to schedule a meeting, we recommend using the University’s preferred scheduling platform, Microsoft Bookings, or setting a Find Time poll in Outlook to make appointments easier to manage.

Update Your Zoom Minimum Client Version
The Zoom minimum client version was raised to 5.16.6. We encourage everyone to update their Zoom client regularly. See this webpage for more details.
Please note that all meeting or webinar recordings saved to Zoom Cloud storage will follow a 365-day scheduled as per the Zoom Retention Guide.

Panopto for Recording, Sharing and Storing Video Made Easy
Panopto is our recommended video management platform for recording, viewing, sharing and storing your recorded lectures, training content and other video types. Check out Panopto Made Easy by the UT iSchool for guides and tutorials for students, faculty and staff.
Extend retention of Zoom recordings by leveraging the Zoom to Panopto integration.
Faculty members can create video assignments for students or viewers using Assignment Folders.
Panopto is a great alternative to other video management platforms to host ad-free video content with flexible access customization and accessibility features. Contact ITS Panopto Support if you need to create a departmental folder to host videos.

Qualtrics Simple Layout
Moving forward, the default theme for new Qualtrics surveys will be the Simple Layout. This will ensure new surveys meet accessibility standards and are mobile friendly. This change will not affect past surveys.
Simple Layout will not have all features, as some features are unsupported at this time. It is recommended that survey design incorporate existing features in Simple Layout.

2024 Annual IT Risk Assessment is Approaching
As a reminder, the 2024 Annual IT Risk Assessment consists of two parts that must be completed by each department (and/or their supporting IT organization):
- Categorizing and classifying assets linked to a department
- Answering unit questions to assess the maturity level of a department's security practicees
Please note the following important dates:
- Assessment Surveys published: Monday, February 12
- Unlaunched Surveys will be launched by ISO: Monday, March 18
- Assessment Surveys close: Friday, April 19
In the coming weeks, the Information Security Office (ISO) will send out additional announcements with tips and tricks for preparing for this year's assessment. You can also review our Campus Risk Assessment documentation.
