December 2024 Curtailment Information
|
UC San Diego has four (4) university paid holidays (December 24, 25, 31 and January 1, 2025) during the Holiday/Winter period. Refer to the Holiday Schedule Campus Notice for more information.

Timekeeping: Please be mindful of the December 2024 Timekeeping Deadlines, especially the last bi-weekly deadline.
- If a bi-weekly timecard is not submitted by the deadline, that payment will be delayed and paid on the next pay cycle.
- Staff employees must charge any working days during the closure period not covered by paid holidays to accrued vacation, accrued compensatory time off (non-exempt only), or leave without pay (use curtailment pay code).
- Non-represented Employees – Leave Accrual: If employees do not have enough accrued vacation or accrued compensatory time off to cover the three (3) working days during the closure (Dec. 26, 27, and 30, 2024) they may request a one-time advance of up to three (3) days of vacation to cover the absence.

Employees who elect to take leave without pay (use curtailment pay code) will continue to accrue vacation and sick leave credits.
- If “Leave without Pay,” is chosen, the Ecotime Pay Code “Curtailment” must be selected to ensure the accruals continue.

Coming Soon: Expansion of Paid Sick Leave
|
The University of California will expand access to paid sick leave, effective January 1, 2025, by revising leave policies for staff and for academic personnel to:
|
- Expand eligibility for paid sick leave, including ensuring that part-time employees have access to paid sick leave
- Expand the reasons for which employees may use paid sick leave
- Provide paid sick leave that is “protected” so that the employee can be entitled to take the leave for a qualifying reason

Extend the period during which paid sick leave may be reinstated if an employee is reemployed after a separation from employment

Job Record End Date Monitoring
|
There are currently 648 employee records and 742 contingent worker (CWR) records at UCSD that have December 31, 2024 or earlier end dates that are not set to auto-terminate.
Please run the Jobs With Approaching End Dates Report in Cognos. Extend or terminate Employee records as appropriate. CWR assignments may be extended (UC_EXT_CWR template) or "completed" (UC_COM_CWR template). Read the full communication here.

Update on Integrating Work Location Information into UCPath for AB-119 Compliance
|
Over the past year, UCSD has been working to integrate its work location information into UCPath to ensure compliance with AB-119 regulations. We are now on track to begin populating employee work location data into UCPath in late Q1 2025. This data population will occur gradually over a period of months, with incremental updates visible in UCPath.
Important Points:

No Changes to Existing Process: The Employee Work Location Tool will remain UCSD's primary source system for employee work location information. The data from this tool will be used to populate the UCPath position location field and job cubicle fields. Please note that any manual input into these fields in UCPath will be overridden by the data entered into the Work Location Tool.
- UCPath Position Record Note: The Employee Work Location listed in the UCPath position record may not always reflect the employee's actual physical work location. This field is specifically used for AB-119 compliance purposes, and in some cases, a check-in location may be listed instead. This is to ensure adherence to AB-119 regulations.

Extended Absence Transaction Status "Push Back"
|
As a reminder, transactors have the ability to verify any Extended Absence Transactions currently sitting in "Push Back" status. We encourage following these steps daily to ensure leaves are submitted timely:
|
- On the Administer Extended Absence page, use the drop-down arrow to select "Push Back"
- Convert to an Excel Sheet
- Excel will populate a report as a tool to use to identify those who are in the Workflow Status of "Push Back".
