This type of transformation cannot be achieved by one person acting alone or completed quickly. It requires a team of committed and passionate individuals coming together to build a better career system for Georgia Tech. Transaction Information
Job Code transactions are actively being entered and will continue through the end of January. View detailed instructions for transactions in the Transaction Update email here and the Wave 1 Transaction Guide here.
As you work through the transactions, below are a few key troubleshooting tips:

- Official Title
When submitting the transaction, the official title must match the new job code title. Transactions that include an incorrect title in the “official title field” will be denied.- To correct a denied transaction due to incorrect official job title, submit a ServiceNow Ticket with the correct information and include “Wave 1 Job Family” in the ticket.
- Existing Row for Effective Date
If there is an existing row for the effective date on the position, you should submit an MSS Misc Transaction. WFA will manually update the position. -
The MSS Misc Transaction should include the same information outlined in the Transaction Guide.
- The MSS Misc Transaction should only be used for first time transactions, not corrections.

OneUSG information differs from Smartsheet
If you notice the pay information in OneUSG differs from Smartsheet, please proceed with submitting the transaction. We are actively updating OneUSG to reflect the information found on your Smartsheet. If anything changes from the information on your Smartsheet, you will be notified by the classification team. -
Transaction Corrections
Corrections to submitted transactions should follow the standard correction procedure by submitting a ServiceNow ticket.
| Employee Notifications
All Wave 1 employees received an email notification on 12/20. 1,091 employees were notified their position is transitioning into a new job family. 680 employees were notified further review of their position is required, and they should expect an update from their supervisor by Jan. 31.
As we shared with people leaders on Dec. 18, 2024, supervisor-led dialogue is the most effective way to communicate the personal impacts of organizational change. All supervisors with employees impacted by Wave 1 should be scheduling 1:1 meetings with their employees in January. 1:1 meetings should occur with all employees who received a notification email. Supervisors are encouraged to use the following resources as they engage their teams:

Using the Wave 1 Job Families’ Crosswalk
The Wave 1 job crosswalk is now LIVE on GTHR’s Job Families website.

The crosswalk is currently a “living document” that is actively being updated as new job codes are confirmed. If a specific position is missing it means we are actively creating the job code.

Job profiles are a foundational piece of our new career system. The job profile outlines the generic job duties, degree of responsibility, and decision-making authority of the role. Wave 1 employees will initially view this information in two places.

Crosswalk – The job crosswalk includes the job summary and generic job duties of the role. This information will be the same for all roles within the same job profile – regardless of level.

Career Level Matrix – The career level matrix captures degree of responsibility and decision-making authority of the job. This information details the difference between levels of each role.

The Professional Category Supplement for the IT Career Level Matrix is now available in Job Family & Career Paths Resources.

To understand their updated role, employees must view both the crosswalk and the Career Level Matrix. A tool that combines this information in one easy-to-read format will be launched later this quarter.
- Remember! Detailed tasks, expectations, and goals for the role are set at the manager level and contribute to the organization’s strategic goals.

The job crosswalk does not include salary grades, salary ranges, and/or individual employee information.
- Once all job codes are assigned, an updated JCCS will be published that includes updated salary grades and ranges for each of the new job families.

What’s Next
Identifying Solutions for “Not Ready” Employees
All units should be actively working on a solution for employees identified as “not ready.” This should be a collaborative approach between the unit executive, finance partner, HR Partner, and the direct supervisor. Additional guidance and instructions will be provided the week of Jan. 20.
