Student Organization transition for 2022-23

If you are receiving this message, you are a current student organization officer for an organization that indicated you transition leadership in the spring, and have Admin Access to JumboLife.
Student Organization Officer Transition via JumboLife
Each year, the Office for Campus Life requires student organizations to re-register to provide updated contact information, identify their ReserveTufts contact, and sign off on certain Tufts policies. This  annual registration process will take place starting Friday, April 15 and are due August 15th.
While student organizations are encouraged to complete their annual JumboLife Transition Form as soon as they have identified their 2022-23 officers, do not complete the form until your new leadership has been selected and you can fully update the roster. Officers added mid-year are not automatically granted Admin Access.
Once your organiation is placed in Transition, you will not be able to complete Event Registration Forms or other JumboLife forms until you have completed your Transition Form. Note that the last day for groups to reserve spaces or register an event is April 15, as previously communicated.

Key Things to Note:
  • The form needs to be completed by ONE current officer. Only your current officers with Admin Access will be able to submit the Transition Form. This means that if your officers are graduating, you should ensure they complete the Transition Form before the end of the semester. 
  • You can only submit this once, please ensure you have all your updates complete prior to submitting. 
  • Once your submission is approved, any members added as an officer (President, Vice President, Treasurer, Secretary, Committee Chair) will automatically be granted Admin Access with the ability to manage your organization, including editing your Organization Registration (and thus public page), add or remove people from your Roster, and submit or edit any Event Registration forms. This is the only time that Admin Acces is granted. Adding members to your roster mid-year will not grant them access.
  • Once your submission is approved, any officers who are removed will automatically have their Admin Access revoked. 
  • Because of this automation, the officer positions are limited to those listed above. We recognize many groups have custom position names, and those individuals should be listed as a “Committee Chair.” Please list those that most closely align to the other officer roles, and note that you must include a President and Treasurer. 
  • You can always return to make additional edits to your organization later, but officer Admin Access can only be granted via the Transition Form. 
  • Approval typically takes 1-3 business days after being submitted.

As your group transitions leadership for the next academic year, please be sure to review the Transition Checklist online. Be sure to pass along important documents, Dept IDs, account passwords, and training materials as required. A Transition Report template to assist in this can be found online

Organization Space Access & Keys
If your organization has dedicated space on camps, please be sure to turn off all equipment and lights prior to your departure for the summer. As a reminder, card access will end for all students on May 15th at noon. If you have a hard key for your space, you must return it to the Office for Campus Life prior to your departure. Do NOT simply pass the key off to the next leaders of your organization. Each student must sign out their key annually from the Office for Campus Life.
Last Day to Host Events & Meetings (In-Person or Virtual)
As a reminder, the final day for student organization to host events or meetings is the last day of classes, May 2. Student organizations are not permitted to host any events or meetings, in-person or remote, during reading days or final exams. Programming during Senior Week is only permitted for the Tufts University Social Collective. The last day to submit space reservations was April 15th. Groups found to be using spaces that they have not reserved or hosting events after May 5th jeopardize their ability to operate in the fall semester.
