A Faculty Member's Guide to Workday |
|
|
As part of the Encompass initiative to modernize campus technology, faculty (along with staff and student workers) will begin using Workday on January 5, 2026, for HR-related tasks and payroll tools. Workday is a cloud-based system that will replace SAP and connectU for HR, payroll, and finance. This transition is separate from View 2022. Workday Finance is planned to go live on July 1, 2027.
Workday's user-friendly design ensures a smoother experience for all users, while its mobile-friendly capabilities allow for convenient access on the go.
Below are the most important things faculty need to know and do to feel prepared for Workday.

10 Things to Know as We Transition to Workday |
1. Workday Is Your New HR Hub |
Workday replaces myOleMiss/SAP (My HR Tools) for nearly all HR- and payroll-related tasks. It also offers enhanced self-service tools for all employees, including a more modern user interface and a Mobile App.
Faculty will now use Workday to manage:

Personal and contact information
- Pay, direct deposit, payslips, and W-2s
- Benefits
- Recruitment processes

2. Training & Resources Are Available |
If you haven’t engaged with training yet, now is the time. Faculty can:

In Workday, you will use the Absence feature to request and manage time away. This includes Personal Time Off (12-month faculty), Major Medical, and FMLA requests, all in one easy-to-use location.
You will be able to:

View your available leave balances at any time.
- Forecast future balances before requesting time off.
- Cancel or modify requests instantly if your plans change.
- Track approval status in real time.
|
This level of control helps you plan, avoid surprises, and manage your time off with confidence.
|
4. Submitting Requests for Outside Employment |
Workday introduces Request Framework to manage common HR-related submissions like outside employment (replacing Form 9s). Once Workday is live, you can access Request Framework by selecting the Menu icon on the Workday home page and then finding “Requests” under the Organization section.
|
5. If You Supervise Hourly Workers or Student Employees |
If you supervise student workers or hourly employees, please review the guidance shared from our Executive Sponsors and complete the required manager training. You can also bookmark the Absence and Time communication and the Student Worker Update for further details, demos, and guidance.
It is critical that you understand your role in approving time so that hourly employees and student workers are paid accurately and on time. Thank you for doing your part!

6. If You Are a Signatory |
In Workday, all signatories will receive notifications for Payroll Accounting Adjustments and Costing Allocations (replacing Form 3s). Even if you are not the primary approver, you will still receive the notification. You only need to act if you are the designated approver, but we don’t want you to be surprised.

7. Download Your Documents Before December 23 |
Some employment documents will not transfer from myOleMiss and connectU to Workday. Please download anything you may need for your personal records by Dec. 23, including:

- Paycheck stubs
- Employment verification letters
- Performance reviews
- Resumes
|
8. Academic Appointments Will Be Managed in Workday |
(For Academic Administrators) Beginning January 5, all academic appointment processes will shift to Workday. This will help to improve the academic appointment experience and create more robust and actionable data for you.

9. Workday Should Be Checked Regularly |
Because Workday is more interactive, it requires more real-time engagement than our legacy systems. Please plan to log in and check your Workday inbox daily to stay on top of notifications and to-dos. Logging in daily will help avoid delays with pay, benefits, or appointment actions.

10. How You Will Access Workday |
Once Workday is live, you will log in at workday.olemiss.edu. You can also use the Workday mobile app to manage tasks, view notifications, and update information straight from your phone. You won't be able to log in yet, but you can download the app to be ready in January:
