Strategic Calendar Mastery
| |
Mastering your calendar is the first key to unlocking more travel. Look beyond the standard vacation blocks and strategically leverage public holidays by adding an extra day or two to create extended weekends ripe for exploration. For example, if you have 3 weeks of PTO (15 days), you can arrange them around holidays for maximum impact. Let's creatively explore what that would look like if we map out how to maximize your 15 PTO days in 2025, leveraging key holidays:
First, let's capitalize on Presidents' Day on Monday, February 17th. By taking off the subsequent four workdays (February 18th-21st), you can enjoy a fantastic nine-day vacation for the 'cost' of just four PTO days. This leaves you with 11 remaining PTO days to play with.
To further stretch your PTO, you can extend your Memorial Day weekend (May 26th), and/or Independence Day weekend (July 4th), and/or Labor Day weekend (September 1st) by taking off just one additional day for each of two holiday weekends. This will grant you two, 4-day weekends for a single PTO day each. Choosing two of these options will leave you with 9 PTO days remaining.
Next, Thanksgiving on Thursday, November 27th, offers another opportunity. By taking off the preceding Wednesday (November 26) and the following Friday (November 28th), you'll enjoy a lovely five-day weekend for just two PTO days, leaving you with 7 PTO days.
Finally, you could then focus on the end-of-year holidays. By taking off December 22nd, 23rd, 24th, 26th, and 29th, 30th, and 31st, you can transform seven PTO days into an impressive thirteen-day vacation encompassing Christmas and New Year's Day.
Therefore, by strategically leveraging all of your holidays, you can easily craft significant travel time within your 15 PTO days, potentially enjoying up to 35 days of vacation (9+4+4+5+13)! This demonstrates the power of aligning your vacation requests with public holidays to significantly extend your travel opportunities.

Another underrated way to maximize your vacation is to include a stopover as an extension of a planned vacation. What is a stopover you might ask? A stopover is when you spend more than 24 hours between flights. If you plan well, you can leverage a stopover to spend extra time in the stopover location, before heading out to your final destination. Several airlines and routes offer free stopover deals, meaning they let you disembark and stay overnight, sometimes for up to 10 days, allowing you to have a to explore the city before returning to the airport to head towards your final destination. Think of it as a vacation within a vacation!
Emirates Airlines for example has an "Emirates Dubai Connect" program. For layovers in Dubai (8-26 hours for Economy/Premium Economy, 6-26 hours for Business/First Class, with the shortest connection), enjoy complimentary perks such as hotel stay, meals, and airport transfers. Upon arrival, head to the Dubai Connect desk for your transfer. Hotels vary (e.g., Copthorne, Le Méridien, JW Marriott Marquis) and you must book online at least 24 hours prior.
For Longer Dubai Stopovers: For extended stays, book a multi-city itinerary via Emirates' "advanced search," adding Dubai as a stop. After booking, enhance your stopover with discounted hotels and experiences through Emirates' dedicated Dubai stopover page, including benefits like 24-hour hotel check-in. I did this while planning a 7 day vacation in the Maldives, flying on Emirates through Dubai. I was able to add 3 nights in Dubai at no additional flight charge.
Other airlines that offer similar programs (links below):
- Japan Airlines* - allows fliers to book multi-city itineraries with stays in stopover destinations of at least 24 hours.
- Etihad - one to two night package with a free stay in Abu Dhabi at one of the following hotels: ( Centro Al Manhal, the Millennium Al Rawdah Hotel, and the Traders Hotel Al Maqta).
- Qatar Airways - stay up to four days in Doha, with hotel rates as low as $14/night at 4 star hotels and $23/night at 5 star hotels.
- TAP Air Portugal - offers free stopovers in Porto and Lisbon, for up to a very generous 10 days, with hotel discounts from 10-20%!
- Turkish Airlines - with at least a 20 hour connection, qualify for a free 2 night, 4 star hotel stay (3 nights for business class) in Istanbul.
- Play Airlines - includes free (uo to 10 days) stopover in Iceland's capital city, Reykjavik.
- Iceland Air - includes free (up to 7 days) stopover in Iceland's capital city, Reykjavik.
- Iberia - Allows for a stay up to 6 nights in Madrid for no extra airfare costs.
- Qantas - Allows to add up to 3 or 4 stopovers in Australia ahead of reaching the final destination, at no extra cost.
- Finnair - Offers a 6, 12, and 24 stopover experience, and spend up to 5 days in Helsinki at no extra cost, booking as multi-city.
* Another benefit of Japan Airlines (JAL) is the fly domestic for free program which basically offers complimentary domestic flights within Japan to international travelers who book a round-trip international flight with JAL and a corresponding domestic flight in the same reservation.
By artfully weaving together creative calendar planning and the strategic use of stopovers, you can dramatically expand your travel horizons without demanding more time away from your daily life. Embrace these optimization techniques, and get ready to transform fleeting moments into richer, more fulfilling adventures around the globe.

Back in February I had the pleasure of visiting Japan, and staying in both Kanazawa and Toyama. As described in our last newsletter, February in Japan - A Cultural Gastronomy Tour!, I experienced the artistry and hospitality that Toyama had to offer. In reflecting upon that very hospitality, I would like to share my experience at an incredible hotel, the DoubleTree by Hilton Toyama.
The hotel was situated in the perfect location - just a 3 minute walk from Toyama Station, it is easy to get to via the Shinkansen (bullet train) from Tokyo. It is also conveniently located to many day-trip destinations such as the Kurobe Alpine route, the traditional villages of Shirakawago and Gokayama; and the Noto Peninsula. What truly sets the DoubleTree by Hilton Toyama apart from other hotels in the area are the staff and the accommodations. First and foremost, I can't stress enough just how friendly, kind and accommodating the staff were. They made me feel like family and ensured that I had a truly remarkable experience. And the hotel itself was another feat of Toyama artistry! The DoubleTree by Hilton Toyama opened on January 18, 2023, making it a little over 2 years old. s And it is the first DoubleTree by Hilton hotel in the Hokuriku region of Japan.
The interior was modern yet comfortable with bright wood tones and floor-to-ceiling windows, but still stayed true to its Japanese roots and the the hotel's design seamlessly blends modern aesthetics with subtle nods to traditional Japanese craftsmanship. The design elements in its guest rooms incorporated motifs of the Tateyama mountain range, and thoughtfully placed artwork evoked the serene beauty of the surrounding Toyama region. The DoubleTree by Hilton Toyama offers a variety of room and suite options, including King rooms, Deluxe rooms, Family rooms, and Suites. The suites were something else, with the King Premium Suite having a separate living room-bedrrom, double vanity bath and separate rain shower bathtub.
However, the true highlight was undoubtedly the hotel's incredible onsen. This traditional Japanese hot spring bath provided a deeply relaxing and rejuvenating experience. Separate facilities for men and women feature spacious indoor and open-air baths, each filled with naturally heated mineral-rich water. Soaking in the warm, therapeutic waters, surrounded by a minimalist yet elegant design, was a truly immersive cultural experience and the perfect way to unwind and soothe tired muscles. This is definitely not something you will find at the typical DoubleTree.
Once well rested and relaxed, I was able to experience a fantastic breakfast which included both Western and traditional Japanese options, the latter showcasing the regional specialities that provided a true taste of Toyama. I opted for mostly Japanese menu items, which included a selection featuring grilled fish, miso soup, pickles, and that renowned Toyama rice. My favorite was the perfectly seasoned buir (Japanese Amberjack).
If you are looking for a refined hotel stay in Toyama with exceptional food and amenities, I highly recommend the DoubleTree by Hilton Toyama.

Here are five quick tips to further optimize your travel experience:
- Embrace Digital Organization: Keep all essential documents (boarding passes, hotel confirmations, tour tickets) digitally organized in one easily accessible place, like a dedicated travel app or cloud storage. This minimizes fumbling and stress.
- Global Entry/TSA PreCheck Advantage: If you're a frequent traveler, investing in programs like Global Entry or TSA PreCheck can save you significant time at airport security and immigration lines, making your airport experience smoother and faster.
- Packable Power & Connectivity: Bring a portable power bank to avoid the stress of dead batteries, especially during long travel days. Consider a universal adapter and research local SIM card options or international data plans for seamless connectivity.
- Master the Art of the Carry-On: Whenever possible, travel with only a carry-on. This eliminates checked bag fees, reduces the risk of lost luggage, and saves valuable time upon arrival and departure.
- Utilize Off-Peak Hours: Where feasible, try to schedule travel (flights, train rides, visiting popular attractions) during off-peak hours to avoid crowds and potential delays, leading to a more relaxed and efficient experience.
And of course, don't overlook the beauty and benefits of shoulder seasons – the sweet spots just before and after peak times often reward you with fewer crowds, more pleasant weather, and even better deals on flights and accommodations. We have helped scores of travelers enjoy their adventures abroad during shoulder season - from anniversaries to honeymoons, and everything in between, it is a great way to experience a new destination without being overstimulated by throngs of sightseers.
Until next time, Arrivaderci, Au revoir, Adios, Auf Wiedersehen, and Sayonara!
