Technology Transition Updates: Chapter websites, Billhighway, and MyVote

In March, an email was sent to chapter officers and volunteers sharing some exciting news about our technology upgrades that are happening. Click here to read the original announcement. 
Alpha Xi Delta will terminate its national contract with OmegaFi effective May 31, 2025. As a result, members will no longer have access to the following OmegaFi products:
  • Vault
  • OmegaOne
  • OmegaOne external chapter websites
  • Omega Recruit
  • Exclusively Xi
What’s Next? 📣
We are excited to introduce a suite of modern technology tools to better serve our membership. Beginning this summer, Alpha Xi Delta will transition to BillHighway, a nationally recognized leader in chapter finance and billing solutions. Additionally, we are launching a new Member Portal — a centralized hub for communication, resources, and connections.
What You Need To Do Before May 30, 2025 ✅ 
To ensure a smooth transition, all chapters must complete the following:
  • Update Member Records and Statuses by May 20, 2025
  • Submit All Outstanding Reports and Forms
  • Download Important Chapter Files from OmegaOne (Examples: Bylaws, Code of Conduct, Merit System, etc.
  • Export Chapter Information from OmegaOne (Examples: Fall 2025 Calendar, Excuses, Birthdays, Questions and Polls, Sister Merit Points, Save Chapter-Specific Website Content)
  • Back up any unique text or photos from your chapter’s current website. National content for the new site will be provided for you.
  • Note: All national documents, forms, and resources will be accessible via the new Member Portal once it is launched.

Chapter websites and OmegaOne
(Attn: Chapter Presidents and Communications Vice Presidents)

Beginning on June 1, all OmegaOne external chapter websites and OmegaOne chapter portal will no longer be accessible as we transition to a new vendor partner. New chapter websites will be available in mid-July. From now until May 30, please save any copy, photos, graphics, chapter documents and files, chapter contact attendee lists, excuses, polls/question responses, etc. that are currently on your OmegaOne external chapter website and in OmegaOne onto a separate document/storage solution (Word, Google Doc, etc). Please be sure to save your information in a location you will be able to access over the summer when it is time to populate your chapter’s new website.  
Once the new chapter websites are ready to be populated, we will send an update via email. Please look for this information in July. The new websites will have the same menu items, and chapters can add custom pages, photos and text – just like the current OmegaOne websites.

New Recruitment Voting Technology: MyVote 
(Attn: Membership Vice Presidents)

Alpha Xi Delta is excited to launch a partnership with MyVote, a membership selection technology designed to make the execution of your chapter’s recruitment process smooth, letting chapter members focus on building relationships with Potential New Members. MyVote will allow members to vote electronically on mobile devices with sorting features to make it easy to locate, vote, comment, and recommend a match for Potential New Members. 
Chapters will implement this new technology starting in the fall 2025 semester with upcoming training resources. To learn more about MyVote and how to share this information with your chapter, we strongly encourage all Membership Vice Presidents, Recruitment Data Directors, Chapter Advisors and Membership Advisors to watch the recorded webinar if they did not join one previously in March. The webinar can be found on Alpha Xi DISH under Data/MyVote tab.
At The Workout, we will cover in depth training on additional MyVote features. Members of MEC will receive their individual MyVote chapter account access in summer 2025 following The Workout and completion of the training classroom. It is a requirement for all Recruitment Data Directors to complete the MyVote training classroom by July 1. Access for the training classroom will be provided immediately after The Workout.
An additional training opportunity will be provided for Volunteers, Chapter Advisors, Membership Advisors, Membership Vice Presidents and Recruitment Data Directors in July to prepare for the 2025-2026 recruitment season. More information and dates to come soon!  

Transition to BillHighway: Kindly Hearts Initiative donations

(Attn: Philanthropy Vice Presidents)
Check writing capabilities have been suspended through OmegaFi. If you have not made your donations to your Impact Organization, we will hold your funds in a Fraternity Headquarters owned account. Then, the funds will be placed in your Kindly Hearts BillPay account in BillHighway, once those open. You will be able to make your donations in mid-summer. There will be NO penalty for these late donations. We know this is a challenging and confusing transition, and we are offering our chapters grace.  
Crowdchange is integrating with BillHighway. In the future, funds raised will automatically be placed in your BillHighway account. 

Finance Resources and Reminders

Billhighway Onboarding Checklist
Remember to consult the comprehensive onboarding checklist created by Billhighway to assist with the transition from the OmegaFi products to the Billhighway tools and resources. Here is the link to the Onboarding Checklist.  
Billhighway Training 
Billhighway held its first training session for Chapter Presidents, Chapter Finance and Operations Vice Presidents, Chapter Advisors and Chapter Finance & Operations Advisors on Tuesday, May 13. The training was recorded and available to all chapters via Billhighway Resource Center. Click here to watch it.
After the training, activation codes were sent out to the following officers: Chapter President, Finance and Operations VP, Finance Director, Membership VP, Member Development VP, Chapter Life VP, and Communications VP. Please check all your email folders (junk, spam, promotion, etc.) if you did not receive it. If you are having trouble locating the email that was sent to activate your Billhighway account, here is how to get a new activation code:
  • Go to the re:Members login page: https://www.remembers.com/login/
  • Select the Billhighway login option.
  • Once at the login page, click on the link to activate your account. View photo.
  • Enter your email address (should be the primary address in our database) and click “send me a new activation code." View photo.
Funds Transfers 
Starting May15, OmegaFi will begin distributing chapter funds to Alpha Xi Delta Fraternity Headquarters. Alpha Xi Delta Fraternity Headquarters will then deposit those funds to the virtual bank accounts in Billhighway. You will then have those funds available for spend around May 27. 
OmegaFi Offboarding 
  • OmegaFi will stop processing member payments as of May 9.  
  • OmegaFi will also void/stop payment on any outstanding Billpay checks starting May 9. They will be providing us with the list of checks that have been voided. Payment may need to be issued to any vendors where a check did not clear the bank before this date.   
  • OmegaFi will start closing the Bill Pay funds and transferring monies to Alpha Xi Delta Fraternity Headquarters as of May 15. Fraternity Headquarters will be working to get the funds transferred to the chapter’s Billhighway accounts the week of May 19. 
  • OmegaFi will deactivate the Vault accounts and remove user access on May 22.  Fraternity Headquarters has made a data request to OmegaFi for the Vault data. If there is any reports or information that you as a chapter officer want to maintain, you can feel free to download that information for your use. We will maintain the files should you have a need for the information. 
  • Please file the chapter’s final Chapter Financial Report (CFR) by May 20. The final report for this year will be the April report.  
  • Please contact to Member Services, the Finance Territory Director, the National Finance Director, or the Director of Finance & Operations with any questions you have. We will help you with this transition and we are confident that the new systems will improve the chapter operations!
