BIKE SCHOOL NEWSLETTER- # 5

Well folks, its weird to be wrapping up just before the Bike Park gets going and its going to be weird not being involved this summer. But you are in the capable hands of Nadio and Sarah. I am so grateful to work with such an amazing team.

Have the best summer, you'll see me doing laps in the park (don't worry I will still be looking to make sure you are wearing your elbow pads!!) and I will be back just in time for the year end party ;)

UPDATE ON CHRIS

We are so excited to let you know that Chris is back home in Whistler with his family. We are amazed at his progress, positive mind set and determination to get to this point.

He says he is adjusting well to being home and looking forward to seeing everyone soon. I know he really appreciates all the check ins so if you have his number drop him a note or a call.

PREPARE FOR OPENING DAY AND THE SEASON

We have done all the onboarding for those who we can - some folks still need to do their pre boarding. You know who you are - please read the email Anna sent and reach out for help if you are having trouble.

Pre Season Checklist

Do all the onboarding tasks in Epic Employee - sign the winter waiver etc
Sign your physical Bike Park wavier at any Guest Relations - don't forget your dependents
Review the pay email that was sent to check your pay rate is correct - send any additional info to wbsspay
Sign up for on hill training and BSO - look out for the email from Meesh
Bike Check - get in for a pre season tune up
Get in bike shape - start pedaling if you haven't already, start stretching and maintain strength, get those body tune ups done at physio or massage. Don't let injury ruin your summer.

BIKE SCHOOL ORIENTATION

This is mandatory paid training and will be held on 2 dates:

1. Friday May 30, 4pm - 6pm

2. Friday June 27, 4pm - 6pm

There will be a meet and greet BBQ open to ALL staff after each event 6 - 8pm. Sign up links coming soon.

SPRING SCHEDULING:

Like we started last year Spring work in adults and privates will be allocated to those who indicated in their survey that they want to work Spring. Lessons will be assigned based on who is highest on the Whole Bike School Rank.

Whole Bike School Rank is calculated by your pay rate x number of bike school hours in the last 3 years.

This makes it fair to those who work in DFX club and DFX dailies that don't start until later in the season but are highly ranked to have the opportunity to work.

Work will be allocated this way in the Fall as well.

Over the last few newsletters we have been directing you to wb.snowschool.ca for lots of information. As you all read the newsletters, follow the links and keep yourselves updated, you will all have noticed that the website is down!!! insert laughing emoji!!!

We are building a new website that will be more user friendly and mobile compatible. Until then we will not be able to access the site.

TIME OFF REQUESTS

A reminder that all time-off requests must be submitted via email to the scheduling team and will require manager approval. As you know, July and August are peak operational months, and staffing levels are critical. Absences during this period significantly increase pressure on the rest of the team, from schedulers and supervisors to frontline coaches.

TIME OFF REQUEST

We’ve observed a growing volume of time-off requests over the past few seasons. While we want to support work-life balance where possible, the trend has created challenges to staffing consistency, program delivery, and overall service quality.

To mitigate these issues, we’ll be implementing stricter time-off guidelines effective for the 2026 season. We’re communicating these now to give staff and leadership adequate time to plan and set expectations.

Key points:

Time off will not be approved during July and August unless there are exceptional, manager-approved circumstances.
Any request for July/August time off must be discussed directly with a manager — and we encourage staff to initiate these conversations early if needed.
Staff taking more than 7 days off during these months will automatically be moved to part-time status. This will affect:
Eligibility for staff bikes and benefits
Ranking in the scheduling system
Ability to lead long-format programs (e.g., DFX Club, Evening Programs), due to the priority placed on consistency for our participants.

UNIFORM AND EQUIPMENT

PARTS ORDERING

We are privileged to have access to LTP and HLC, two of the largest bike parts distributors in Canada. Along with a long list of brands they distribute, we also have access to their stock pricing. This is a huge privilege and bonus, it helps us all get through the season with working bikes. Do not abuse this privilege. See below for info on how to make orders.

LTP Ordering Steps

1) Go to Brands « Live to Play Sports to familiarize yourself with brands stocked by LTP. [Unfortunately you cannot see their catalog direclty]

2) Pre-organize a time with James or Meesh to review the catalog and place items into a cart.

3) Submit cart with your own credit card for payment. [There is regularly a charge of about $20 for shipping]

4) Parts arrive within a few days to 2 weeks, James or Meesh will let you know when they have arrived

HLC Ordering Steps

1) Go to HLC website and find part numbers. [Note prices shown will be RRSP not Stock price]

2) Discuss order with James or Meesh at a pre-organized time, or forward list of part numbers via email.

3) Ensure that guest services have a credit card on file for yourself to take payment.

4) We order parts through our inhouse ordering system, likely every week. [Minimum total order of $500 to avoid shipping charges, hence bulking orders together]

5) Parts arrive within a few days to a week, guest services will charge your card directly, we will then release the parts to you.
